Fair, transparent refund terms for all our service engagements.

General Policy

AKASHTECH is committed to delivering quality work and client satisfaction. We work closely with clients throughout every project to ensure alignment with expectations. However, we understand that circumstances may require a refund.

Refund eligibility depends on the type of engagement, work completed, and the specific terms of your signed service agreement or proposal. Where a signed agreement exists, those terms take precedence over this general policy.

Project-Based Services

For fixed-scope projects (software development, web design, CMS builds, e-learning portals, payment gateway integration):

• Before work begins: Full refund of any advance/deposit if cancellation is requested before project kickoff.
• During active development: Refund is prorated based on work not yet completed. Completed milestones, delivered designs, and deployed code are non-refundable.
• After delivery & acceptance: No refund for work that has been delivered, reviewed, and approved by the client.
• Quality issues: If delivered work does not meet the agreed specifications, we will revise it at no additional cost. If the issue cannot be resolved, a partial refund may be issued for the affected portion.

Retainer & Managed Services

For ongoing engagements (IT support, managed hosting, digital marketing retainers, social media management):

• Monthly retainers are billed in advance. Unused hours within a billing period are generally non-refundable.
• Clients may cancel retainer agreements with 30 days' written notice. The final month's fee covers work during the notice period.
• Annual contracts paid upfront: Refund for remaining full months if cancelled after the initial 3-month commitment period.

Non-Refundable Items

The following are generally non-refundable:

• Third-party purchases made on your behalf (domain registrations, hosting, SSL certificates, software licenses, API subscriptions, stock media).
• Discovery, research, and strategy work that has been completed and delivered.
• Emergency or rush-delivery surcharges for work already executed.
• Custom training and workshop sessions that have been conducted.

Refund Process

To request a refund:

1. Email projects@akashtech.net with your project reference, the reason for the request, and any supporting documentation.
2. We will acknowledge your request within 2 business days.
3. Our team will review the project status, completed work, and agreement terms within 5 business days.
4. If approved, the refund will be processed within 10 business days via the original payment method (bank transfer, M-Pesa, or international transfer).

Dispute Resolution

If you disagree with a refund decision, we encourage direct discussion to find a fair resolution. If a satisfactory outcome cannot be reached:

• We will engage in good-faith mediation with a mutually agreed mediator.
• If mediation fails, the dispute may be submitted to arbitration in San Jose, CA 95134, United States, under the laws of the Republic of Kenya.
